1. Introduction & Overview

Welcome to MP Billing (“we”, “our”, or “us”). We are committed to safeguarding the confidentiality, integrity, and security of all commercial, personal, and financial data entrusted to us by our clients, customers, and partners.

This Privacy Policy describes how we collect, handle, process, store, and protect your information when you use our internal enterprise billing software, customer account ledgers, receipt generation services, and associated digital communications.

2. Information We Collect

In order to generate authenticated invoices, maintain accurate customer account ledgers, and comply with commercial trade norms, we process the following categories of information:

  • Customer Identification: Customer trade name, authorized contact person, registered telephone/mobile number, physical billing/delivery address, and tax identifier (GSTIN/PAN, where applicable).
  • Commercial Transaction Details: Specific records of items traded (payal, bars, jewellery, and custom bullion), metal gross weights, touch/purity percentages, wastage metrics, pure equivalent weight conversions, and maker charges.
  • Financial & Settlement Data: Rate cutting values, gold/silver spot rates applied to trades, cash receipts, bank reference vouchers, pure balance reconciliations, and cash balances.
  • Technical & Access Telemetry: Encrypted authentication tokens, session identifiers, client IP addresses, and audit timestamps generated during system operations.

3. Purpose of Processing

We use collected data strictly for authorized business and statutory accounting purposes:

  • Generating authentic, tamper-evident trade bills, receipts, and statement summaries.
  • Tracking pure balance and cash balance reconciliations across delivery and receipt cycles.
  • Transmitting requested transaction statements directly to authenticated customer channels via WhatsApp.
  • Maintaining required transaction audit trails in accordance with commercial taxation standards.
  • Preventing billing discrepancies, unauthorized access, and ledger tampering.

4. Data Security & Encryption

Security is built into the architecture of our billing system:

Encrypted Sessions

All operator and administrator sessions utilize cryptographically signed, encrypted HTTP-only session tokens protected by modern symmetric encryption algorithms.

Database Access Controls

Customer records and transaction histories reside on secured, isolated database clusters with principle-of-least-privilege access rules and parameterized SQL query execution.

5. Sharing & Third-Party Services

We do not sell, rent, monetize, or trade any customer personal or financial information to third parties. Information is only transferred under the following strictly limited conditions:

  • Customer-Initiated Delivery: When an authorized user requests to share an invoice, the system compiles a localized PDF and invokes WhatsApp Web or the device's native share dialog directed to the customer's specified number.
  • Legal & Statutory Mandates: Where disclosure is strictly required to comply with court orders, tax department inquiries, or regulatory obligations under Indian law.

6. Record Retention & Archival

Billing entries, invoice numbers, receipt logs, and customer ledger balances are maintained for the statutory retention period required for tax filing, statutory audits, and financial record-keeping under applicable commercial statutes.

Historical transaction records are preserved in immutable ledgers to ensure statement continuity and historical verification for both parties.

7. Customer Rights & Inquiries

As a valued client or partner, you hold rights regarding the data recorded under your account:

  • Request a verified copy of your complete account statement or historical bills.
  • Request prompt rectification of any erroneous contact or address information.
  • Clarify weight, touch, rate cutting, or cash receipt reconciliations with the billing desk.
